The Workplace Solutions Specialist plays a significant part in maintaining a smooth and efficient office. This position is responsible for handling shipping, work order coordination, office inventory, and assisting with administrative tasks and special projects. Our ideal candidate will exhibit a keen eye for detail, excellent organization, and timely responsiveness. 

Job Responsibilities

  • Run daily workplace services, including evaluating office equipment, supplies, space reservations, mail reception and visitor coordination.
  • Receive, log, and sort all incoming mail and deliveries. Prepare and process all outgoing mail and packages to meet daily pickup schedules and ensure timely and accurate handling of all shipping and receiving tasks.
  • Supervise work order system and respond to requests from IRC staff. Coordinate with appropriate personnel to ensure timely resolution of all work orders. Track and update the status of open and completed tasks.
  • Assist with logistics, setup, and documentation for special projects, meetings, and staff events.
  • Track and report on workplace metrics (work order volume, supply usage, space utilization, etc.) to support decision-making and budgeting.
  • Collaborate with building management, security, cleaning, and other vendors to ensure high-quality service delivery and address issues when needed.
  • Offer general support to staff as needed to ensure office efficiency.
  • Maintain flexibility to respond to ad hoc administrative needs.

Other Educational Qualification

Bachelor’s degree or equivalent relevant experience.

Skills

  • Strong interpersonal and project management skills with the ability to prioritize contending demands.
  • Strong communication skills with participants within and outside the organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Ability to lift up to 25 lbs. and perform physical tasks related to shipping and stocking supplies. 
  • Minimum of 1–2 years of experience in office support, facilities, or administrative roles.

Full-time in-office position.
May require occasional lifting, standing, and movement throughout the day.
